We are registered with the UK supervisory authority, Information Commissioner’s Office (“ICO”) in relation to our processing of Personal Data under registration number ZA301272. This Privacy Notice explains what personal data Alterian collects as a data controller in each of these cases, how we process your personal data and your rights. It also provides details of how to contact us about your personal data or to exercise your rights.

Alterian as a Processor

If Alterian processes data about you because it has been provided to us or added to one of our software platforms by or on behalf of an Alterian customer, we are acting as a data processor and this Privacy Notice does not apply. You should review the privacy Notice of the Alterian customer that collected your personal data and added it to our software platform.

We update this Privacy Notice from time to time in response to changes in applicable laws and regulations, changes to our processing practices and to products and services we offer. When changes are made, we will update the final section of this Notice. Please review this Privacy Notice periodically to check for updates.

Website Visitors & People Contacting Us

When you contact us using the web form on our website, a corporate email account or through one of our social channels (including X and Linkedin) we collect the information you provide to us.

This typically includes your name, email address, telephone number and company / employer’s name (where applicable) and any additional information you include in your message.

Customers & Suppliers

If you are a customer, partner or supplier, we collect personal data about our key contacts at  your organisation. This includes their name and business contact details including email address, telephone number, job title and company / employer’s name.

If you are a prospective customer, we collect personal data about individuals in your organisation who are likely to be interested in our products and services, including their name, business email address, business telephone number, job title and company / employer’s name.

Cookies & Social Media

Alterian uses cookies on our website, CX platform and Journey Insight Platform. Cookies are small text files that may be downloaded to your device when you visit a website unless you have set your browser to stop them.

Purposes for Using Your Personal Data

Lawful Bases for Using Your Data

Our legal basis for collecting and processing your personal data as described above, will depend on the relationship we have with you.

If we reply to your inquiry, it is in our legitimate business interests to respond to you.

It is also in our legitimate business interests to develop a sales relationship with, and market our products and services to you; to provide you with our services if you are a customer; to monitor and analyse use of our software for reasons of security and improvement; and to manage our relationship with you as a supplier.

Where you have subscribed to our newsletter or other direct marketing communications, we send these to you with your consent. Where we use business contact information to identify organisations that may benefit from our products and services and send direct marketing to individuals in their professional capacity, we do so using Legitimate Interest. You can withdraw your consent and unsubscribe at any time using the ‘unsubscribe’ link in our emails or by contacting us at .

Onboarding you as a user of our platforms and setting up your user access, it is our legitimate interest to process the personal data about you provided to us by your organisation, for the purposes of the services we have agreed to provide them.

In some cases, we may have a legal obligation to collect and use your personal data.

It is also in our legitimate interests to use your personal data to detect and prevent money laundering, fraud and other illegal activities.

Sharing Your Data & International Transfers

We will share your personal data with suppliers to our business who process data on our behalf. This includes, for example, cloud service and SaaS providers. In such cases, our suppliers are data processors and may only use the data in line with our instructions and not for any other purpose.

Alterian is a global business and as such your personal data may be shared with our subsidiaries in the UK, USA or Australia to respond to your enquiry properly, for the purposes of our relationship.

It is possible that we may be required to share your data to comply with applicable laws or with valid legal processes, such as in response to a court order or with government or law enforcement agencies.

Alterian  do not sell your personal data to any third party.

If you are in the United Kingdom (UK)  European Economic Area (EEA) and your personal data is collected in or processed by our subsidiary Alterian Software Limited, your information will be shared with Alterian Software Holdings LLC in the US and/or with Alterian Software Pty Ltd in Australia.  When this becomes necessary for the purposes for which we have collected it we will enter into either International Data Transfer Agreements (IDTAs) and/or Standard Contractual Clauses (SCCs), approved by the UK ICO, which contractually oblige the entities in those countries to operate to the data protection standards expected within the UK.

How long we keep your data

We will retain your personal data for as long as is necessary to provide you with our services and for a reasonable period thereafter to enable us to meet our contractual and legal obligations and to deal with complaints and claims.

At the end of the retention period, your personal data will be securely deleted or anonymised, for example by aggregation with other data, so that it can be used in a non-identifiable way for statistical analysis and business planning.

If you have provided your consent for us to process your Personal Data for a specific purpose, you have the right to withdraw your consent at any time. If you do withdraw your consent, we will no longer process your information for the purpose(s) you originally agreed to, unless we are permitted by law to do so.

If you are in the EEA or the UK, you will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request for access is clearly unfounded or excessive. Alternatively, we may refuse to comply with the request in such circumstances.

Complaints

In the UK, you have the right to complain if you consider that we have not complied with the data protection law when handling your Personal Data.
